User Agreement

Eligibility

The BSO Data Portal is a private platform accessible only through an approved registration process. Users must register using the provided form, selecting their region and organization from a pre-listed menu. Registrations are subject to validation and approval by the BSO Regional Lead or the site administrators. Users who do not meet the required criteria will not gain access to the platform.

User Agreement

Users agree to:

  • Submit data through the website that have been assigned to them and/or their BSO service organization or Behavioural Support Unit for completion, in alignment with their scope of practice and service delivery model. Data collection and submission must be consistent with the standardized definitions provided by the Behavioural Supports Ontario Provincial Coordinating Office.
  • Ensure that any data submitted does not contain personal information or other information that may be used to directly identify an individual. If photos are being submitted to accompany data via the photo collection form, users will obtain proper consent for sharing the photo(s).
  • Avoid sharing login credentials with others.
  • Refrain from using unsecured networks when accessing the platform.

Account Management

  • Users must maintain the security of their account credentials, including using a strong password.
  • Password recovery options are available to users who forget their credentials.
  • Users will be able to update or change their first name and last name directly within the platform.
  • If a user requires an email change, they should contact the site admin at info@bsodataportal.ca for assistance.
  • If an account is compromised or misused:
    • It will be deactivated, and the organization and corresponding BSO Regional Lead will be notified.
    • The submitted data associated with a compromised account will not be lost but will be reassigned to an admin under the associated location.

Platform Usage Terms

  • The platform is intended solely for submission of BSO and BSU service activity-related data (under the auspices of the organization that employs the user).
  • Users are required to adhere to the intended functionality of the platform. Tampering with or attempting to modify the platform’s backend functionality without authorization is strictly prohibited.
  • In the event of technical issues, users should contact site support at info@bsodataportal.ca.
  • For system integrity and troubleshooting, the platform maintains regular plugin updates and backups. If a technical issue arises from a plugin conflict or ACF customization, the support team will prioritize restoring functionality as quickly as possible.
  • Any detected misuse or attempts to bypass the platform’s permissions will be escalated to the admin team for review and may result in account suspension.

Liability

While we strive to maintain continuous availability of the BSO Data Portal, occasional downtime may occur due to maintenance or unforeseen technical issues. To manage expectations and align with industry standards, we propose the following:

  • We aim for an uptime of 99.9%, translating to a maximum allowable downtime of approximately 43.8 minutes per month.
  • Planned maintenance will be conducted during off-peak hours to minimize disruption.
  • If unexpected downtime occurs, users will be notified via the maintenance page, and regular updates will be provided until services are fully restored.
  • While we endeavor to maintain high availability, we are not liable for losses incurred due to downtime.
  • We perform daily backups to safeguard data. However, once a field is overwritten, previous versions cannot be restored. Users are encouraged to verify data accuracy before submission.

Termination

Accounts may be suspended or terminated under the following conditions:

  • Submission of spam or inaccurate data.
  • The user has been inactive for eight consecutive quarters (e.g., two years of inactivity).
  • The user, user’s manager, or BSO Regional Lead requests account deletion.
  • The user is no longer associated with the organization which is reported by the location or detected during periodic account reviews.

Upon account termination, all personal information will be removed from the system, but historical data will remain associated with the user’s organization.
